Terms of Business

Instructions
We will confirm your instructions in writing as soon as reasonably practicable and this will form the basis of the contract between us. If you feel we have not interpreted your needs correctly or wish to change the instructions please let us know as soon as possible. Where further instructions are received or original instruction varied, we will confirm the basis upon which these will be undertaken.

Time
We will carry out your instructions as expeditiously as possible and as far as reasonably practicable within any agreed programme.

Charges
Where we have quoted a charge for providing a service based upon information provided by the client this will be subject to revision if the information given is found to be inaccurate. Under these circumstances a revised fee basis will be confirmed as soon as possible. Where a charge is to be based upon time expended this will be calculated at the agreed rate from time records and will include time spent travelling in connection with the instruction.

Expenses

Where it is agreed that expenses are chargeable in addition to a quoted fee, these will include the following:

  • Travel by car
  • Other travel and parking charges
  • Plan printing, photographic costs and photocopying charges
  • Where fees are payable to an Authority, for example in connection with Planning and Building Regulations applications, a cheque will normally be requested from the client prior to the application being made.
  • The costs of standard postage, telephone calls and stationery are not chargeable but charges may be made for services such as courier delivery, international telephone calls and registered post etc.

Payment
We will issue our invoice on completion of the work if it is of short duration. Where instructions continue over a longer period we will issue interim accounts based on time expended or an assessment of the proportion of the work so far completed.

Invoices will be subject to the addition of VAT at the rate applicable at the date of invoice and are due for payment within 14 days of the date of issue. We reserve the right to charge interest at the rate of 1.5% per month in respect of invoices not paid within this period.

Complaints
We have a Complaints Handling procedure in compliance with the regulations of the Royal Institution of Chartered Surveyors. A copy is available on request.
